Terms & Conditions – Group Bookings

These Group Bookings Terms & Conditions (“Group Terms”) apply when booking on behalf of a company, family office, organization, private charter, or multi-guest group (collectively, the “Group”). They supplement and, where noted, supersede our main Terms & Conditions. By approving a proposal or remitting any deposit for a Group booking, you agree to these Group Terms.

Bookings, Deposits, and Payments

To confirm a booking, Client must pay a non-refundable deposit of 25% of the total trip cost at the time of reservation unless otherwise specified in writing and acknowledged by both parties.

The remaining balance is due 90 days before the tour start date. For bookings made within 90 days, full payment is due at booking. Failure to pay the remaining balance by the due date may result in cancellation of the booking without refund of the deposit.

Cancellations and Refunds

At the time of booking, Client must pay a 25% non-refundable deposit.

Cancellations made more than 90 days before the tour start date: Client will receive a refund of any payments made, excluding the nonrefundable non-refundable deposit.

Cancellations made less than 90 days before the tour start date: the trip is fully non-refundable.

Attrition and Headcount Changes

Attrition Allowance: Up to a 10% reduction in guest count (rooms or participants) without penalty if confirmed in writing at least 90 days before the tour start date, provided third-party supplier policies allow. Reductions after that date are chargeable in full.

Additions: Additional rooms or guests are subject to availability and current pricing. Any new services or changes require written approval and prepayment.

Room Lists and Manifests

Deadlines: A preliminary rooming list or guest manifest is due 60 days before the tour start date; the final list is due 30 days before the tour start date and must include guest names, dietary restrictions, accessibility or mobility needs, and arrival details.

Late Submissions: Late or incomplete submissions may limit our ability to accommodate preferences, and additional handling or administrative fees may apply.

Client Responsibilities

You are responsible for:

Compliance: Client and all participants must comply with local laws, venue rules, and safety guidance. We reserve the right to refuse service to or remove any participant whose behavior is disruptive, unsafe, or materially interferes with the experience. No refunds will apply in such cases.

Insurance: Client is responsible for maintaining appropriate insurance coverage for the event or trip, which may include general liability, event cancellation, and travel or medical insurance for participants. Proof of insurance may be requested.

Indemnity: Client agrees to indemnify, defend, and hold harmless Bella Puglia Tours from any claims, damages, losses, or liabilities arising from Client’s or participants’ negligence, willful misconduct, or breach of these Group Terms.

Updates to Group Terms

We may update these Group Terms from time to time. The version posted on our website at the time of booking applies to your reservation unless otherwise agreed in writing.
