Terms & Conditions – Individual Bookings

Welcome to Bella Puglia Tours LLC (“Bella Puglia Tours,” “we,” “our,” “us”). These Terms & Conditions (“Terms”) govern your use of our website and our travel services. By accessing our website or booking a tour, you agree to these Terms.
Our Services
We design, curate, and arrange bespoke luxury travel experiences in Italy, collaborating with carefully vetted third-party providers (e.g., accommodations, transportation, guides, chefs, wineries, and venues).
Itineraries are tailor-made and may be refined to reflect availability, seasonality, and guest preferences. Equivalent or superior substitutions may be made as needed.
Bookings, Deposits, and Payments

To confirm a booking, client must pay a non-refundable deposit of 30% of the total trip cost at the time of reservation unless otherwise specified in writing and acknowledged by both parties.

The remaining balance is due 60 days before the tour start date. For bookings made within 60 days, full payment is due at booking. Failure to pay the remaining balance by the due date may result in cancellation of the booking without refund of the deposit.

Certain luxury accommodations, villas, yachts, or experiences may require earlier or full prepayment. If applicable, we will advise you before you approve the itinerary.

Bookings are confirmed only after we receive payment and issue written confirmation.

Payment methods: major credit cards and bank transfers. We reserve the right to refuse any payment method in our sole discretion. Any and all processing, bank, wire transfer, or foreign exchange fees are the client’s sole responsibility and must be paid in addition to the amounts due for our services.

Currency: Prices are quoted in USD by default. EUR/GBP quotes are available upon request. If you pay in a non-USD currency, your card issuer/bank’s exchange rate and fees apply, and client bears all risk of currency fluctuation. The deposit locks the price in USD; final balances are payable in USD unless otherwise agreed in a writing signed by both parties. We are not responsible for any losses resulting from currency exchange rate fluctuations.

Cancellations and Refunds

At the time of booking, client must pay a 30% non-refundable deposit.

Cancellations made more than 60 days before the tour start date: client will receive a refund of any payments made, excluding the nonrefundable deposit.

Cancellations made less than 60 days before the tour start date: the trip is fully non-refundable.

No refunds, credits, or compensation will be provided for unused or partially used services, no-shows, late arrivals, or early departures, regardless of the reason.

Refunds, if applicable, are limited to amounts actually recovered by Bella Puglia Tours from third-party suppliers, the less non-refundable deposit.

We strongly recommend, and client acknowledges that they have been advised, that client obtain comprehensive travel insurance covering trip cancellation, trip interruption
Changes by You
Date, traveler, or service changes requested by client after booking may be accommodated in our sole discretion, subject to availability and third-party supplier policies. Client acknowledges that additional costs, change fees, and supplier penalties will apply and are client's sole responsibility. All change requests must be made in writing and are not effective until confirmed in writing by the parties.
Changes by Us and Force Majeure
We may make itinerary adjustments, including timing changes, venue changes, and vendor substitutions, as reasonably necessary to maintain quality, safety, and operational efficiency. We will promptly notify client of any significant changes and will offer an equivalent or superior alternative where possible. If no suitable alternative can be arranged, client may choose to accept the modified itinerary or receive a refund for the affected portion of the services, in addition to any other remedies available under these Terms.
We are not liable for delays, interruptions, or changes caused by events beyond our reasonable control, including but not limited to adverse weather, natural disasters, strikes, civil unrest, epidemics/pandemics, government actions, or supplier insolvency (“Force Majeure”). In such cases, we will make reasonable efforts to re-arrange services, but refunds are subject to supplier policies and are not guaranteed. Travel insurance is strongly recommended.
Third-Party Providers
We act as an intermediary for services provided by independent third parties (accommodations, transport providers, guides, etc.). These providers are solely responsible for the performance and safety of their services, and client will be subject to the third parties’ policies, procedures, terms, and conditions.
To the maximum extent permitted by law, we are not liable for acts, errors, omissions, negligence, or intentional misconduct of third parties.
Client Responsibilities
You are responsible for:

Ensuring passports, visas, vaccination, and entry requirements are met for each traveler.

Communicating any medical conditions, mobility considerations, or dietary restrictions in writing at least 30 days before travel (earlier for severe allergies).

Arriving on time for scheduled services. Missed services due to lateness are non-refundable.

Complying with local laws, venue rules, and safety guidance. We may decline service or remove guests whose behavior endangers others or materially disrupts the experience; refunds will not apply.
Health, Fitness, and Special Requests
Some activities may require moderate physical fitness. Please assess your suitability and consult your physician as needed.
We will relay special requests (e.g., room configuration, allergy accommodations) to suppliers but cannot guarantee fulfillment unless confirmed in writing.
Travel Documents and Insurance
You acknowledge that you have been advised to purchase comprehensive travel insurance promptly after booking (including trip cancellation, medical, evacuation, and supplier default coverage). Your insurer’s policy terms govern any claims.
We do not provide legal, medical, or immigration advice.
Pricing, Taxes, and Fees
Quoted prices include only items specified in your confirmed itinerary. Exclusions typically include international airfare, some meals, personal expenses, tips, and city/visitor taxes unless stated otherwise.
City or tourist taxes, resort fees, and similar charges imposed by authorities or suppliers may be collected locally and are the traveler’s responsibility when not expressly included.
Intellectual Property
All content on our website and in our materials, including but not limited to text, images, photographs, graphics, logos, itineraries, tour descriptions, videos, audio recordings, software, designs, trademarks, service marks, trade names, and any other intellectual property (collectively, "Content"), is the exclusive property of Bella Puglia Tours or our licensors and is protected by United States and international copyright, trademark, patent, trade secret, and other intellectual property or proprietary rights laws. The Content may not be copied, reproduced, distributed, republished, downloaded, displayed, posted, transmitted, sold, licensed, modified, adapted, translated, created derivative works from, or otherwise used or exploited in any way without our the express prior written consent. Any unauthorized use of the Content may violate copyright laws, trademark laws, the laws of privacy and publicity, and communications regulations and statutes, and may subject the violator to civil and criminal penalties, including but not limited to injunctive relief, monetary damages, and attorneys' fees. Bella Puglia Tours reserves all rights not expressly granted herein.
Indemnification
Client shall indemnify, defend, and hold harmless Bella Puglia Tours, its affiliates, subsidiaries, directors, officers, employees, representatives, successors, assigns and agents from and against any and all third-party claims, actions, demands, damages, losses, liabilities, judgments, settlements, penalties, fines, costs, and expenses (including reasonable attorneys’ fees), whether known or unknown, contingent or vested arising out of, resulting from, or related to (i) client’s breach of these Terms; or (ii) the negligence, recklessness, or willful misconduct of client or its agents.
Limitation of Liability
To the maximum extent permitted by law, our aggregate liability arising from or related to your booking or use of our services shall not exceed the total amount you paid to us for the affected services.
We are not liable for indirect, incidental, special, consequential, or punitive damages, including lost profits, loss of enjoyment, or emotional distress, except where prohibited by law.
Data Privacy
We respect your privacy. We collect and process personal data in accordance with our Privacy Policy and applicable laws, including GDPR and CCPA where relevant. See our Privacy Policy for details on your rights and how to exercise them.
Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Pennsylvania, without regard to its conflict of laws principles. Any dispute, controversy, or claim arising out of or relating to Bella Puglia Tours’ services , or the breach, termination, or validity thereof, shall be finally resolved by binding arbitration administered by the American Arbitration Association (“AAA”) in accordance with its Commercial Arbitration Rules then in effect. The arbitration shall be conducted by a single arbitrator mutually agreed upon by the parties, or if the parties cannot agree within thirty (30) days of the demand for arbitration, appointed by the AAA. The arbitration shall take place in Pittsburgh, Pennsylvania, or such other location as the parties may mutually agree. The arbitrator’s award shall be final and binding upon the parties and may be entered as a judgment in any court of competent jurisdiction. Each party shall bear its own costs and expenses in connection with the arbitration, and the parties shall share equally the fees and expenses of the arbitrator and the AAA. Notwithstanding the foregoing, either party may seek preliminary injunctive relief or other equitable remedies in any court of competent jurisdiction to preserve the status quo or prevent irreparable harm pending the completion of
Severability and Entire Agreement
If any provision of these Terms is held invalid or unenforceable, the remaining provisions remain in full force. These Terms, together with your confirmed itinerary and our Privacy Policy, constitute the entire agreement and supersede prior understandings.
Updates to These Terms
We may update these Terms from time to time. The version posted on our website at the time of booking applies to your reservation unless otherwise agreed in writing.
